Registration Information

We can't wait to see you at the 2025 National Association of Academies of Science (NAAS) and American Junior Academy of Science (AJAS) Annual Conference in Boston, Massachusetts on February 12-15th! Registration costs $475 opening on October 1st and closing on December 10th. Register now! 

We invite all academies to sponsor and send student delegates (AJAS Official Delegates, AJAS Fellows Alumni, and Student Observers) and adults. This includes inviting students who have presented at previous NAAS-AJAS/AAAS conferences and who have continued conducting research.

  • Ensure that your AJAS Delegate(s) under 18 are accompanied by an adult chaperone assigned by the sponsoring academy
    • Official chaperones are responsible for the safety, welfare, and conduct of their students at all times during the conference events. Adults can chaperone more than one student
  • Prepare to list your poster details before filling out the registration form
    • All AJAS Official Delegates must present a poster at the 2025 annual conference detailing their original research to receive an AJAS Fellowship
  • AJAS Delegates, be prepared to provide the names and email addresses of your adult chaperone and your state/regional science academy director
  • Prepare your payment method before registering, if you are not paying for yourself, coordinate with the person sponsoring your attendance.
    • Payment is due at the time of registration
  • If you are a State/Regional Academy, ensure your 2025 NAAS membership dues are paid
    • State and regional academies of science must have their 2025 NAAS membership dues paid prior to registering students and adults for the NAAS/AJAS Annual Conference.
  • And finally, complete the 2025 AJAS Annual Conference Registration Form before December 10th

Registration FAQ

  • Last year, I had to register for both the AAAS Annual Meeting and the AJAS Conference. Do I need to do that again this year?
    • You only need to fill out one registration form for the AJAS Conference this year and our admin team will make sure you're registered for the AAAS Annual Meeting as well. 
  • AAAS, NAAS, AJAS... what do all these acronyms mean?
    • NAAS stands for the National Association of Academies of Science. NAAS runs AJAS, the honor society that leads the conference you are registering for. The American Association for the Advancement of Science (AAAS) hosts a different conference at the same time at the convention center. AJAS works with them to provide you access to both conferences. 
  • Q: How much does registration cost? When and how do I pay?
    • A: Every attendee will need to pay $475 online at the time of registration
  • Q: What is included with my registration?
  • Q: What is my Attendee Type?
    • AJAS Official Delegates are students who are presenting research at the 2025 AJAS Annual Conference. This includes past AJAS Fellows who wish to attend the 2025 conference to present new research. 
      Student Observers are students, such as siblings or others as designated by the sponsoring academies, who are not delegates and do not present research.
      Adults are teachers, official chaperones, NAAS board members, affiliated academy members, and parents/adult families.
      AJAS Fellows Alumni are Official Delegates from previous years who are not presenting research at the 2025 Annual Conference.
  • Q: My chaperone changed! How do I update the contact information for my chaperone after I have completed my registration?
    • Email admin@academiesofscience.org with the information about the change
  • Q: I need to cancel my AJAS registration, what is the process for doing this?
    • Email admin@academiesofscience.org. Cancellation requests made by January 2nd, 2025 may receive a partial refund.
  • Q: If I am not the person paying for my registration, how do I make sure my registration is paid?
    • All payments are due at the time of registration. Please make arrangements with the person who is paying for your registration ahead of time.
      • This policy has changed for the 2025 conference.

Reserve your Room!


Be sure to book your room within the NAAS/AJAS room block at the Kendall Hotel to receive a discounted rate!
If our hotel block becomes filled, later registrants may be required to pay the hotel’s regular rates or search for alternative lodging. We anticipate buying out the entire 77-room hotel and thus having sole occupancy of the property, so be sure to book soon!
Note that hotel reservations and costs are the responsibility of the sponsoring academy and registering for the AJAS conference does not reserve or pay for your hotel room. 

Rooms at the Kendall Hotel cannot be booked through a third-party site such as Expedia, so be sure to follow the instructions below. 
 
How To Reserve Your Room:
  1. Visit the booking link 
    • Do not change the block that says “Guests,”  it must remain showing “1 Adult, 0 Children.”  Anything other than “1 Adult, 0 Children”  will cause the process to fail.
  2. Tab through the calendar using the ">" icon and advance to "February 2025" You will see the four "AJAS 2025" dates highlighted.
    • The group code should automatically be applied but if it is not, type: AJAS25
    • Please note, although there is an “X" on February 16, guests you are still able to select February 16 as the checkout date. The "X" simply means the group rate is not available on that date for check-in.
  3. Click on the 12 February 2025 box.  
  4. Click in the “Check-out” block. If you are departing Saturday night, choose “15 Feb.” if you are departing Sunday, choose “16 Feb.”  Yes, “16 Feb”  has an X, but it will work just fine.
  5. Double-check that the “Check-in” and “Check-out” blocks, above the calendar grid, reflect your choice of dates.
  6. Select “Search.”
  7. Select from the 5 different room options and select on “Book Now.”
  8. On the “Checkout” page, enter all your contact and credit card information.
  9. At the bottom of the page, note the “Check-in” and “Check-out” times.
    • VERY IMPORTANT: by contract, the following cancellation policy applies to all AJAS25 reservations: Each guest will be issued a cancellation that must be received no later than 3:00 p.m. (Boston, MA time) 7 days before the arrival date. Should a reservation be canceled fewer than 7 days before the arrival date, the credit card will be charged equal to the total stay of their reservation.
  10. When the checkout screen is checked, and the above AJAS25 cancellation policy is understood, select continue.
  11. Once you finish the reservation, in the note section, please include any special requests, early or late arrival times, and/or if parking will be needed.
  12. Confirm the booking.
  13. Check your email for a confirmation document
Notes About Our Room Block: 
  • Reservations can only be confirmed with a valid credit card. The credit card used to reserve the room will be charged once the cancellation period has expired. Any reservation with an invalid credit card will be unconfirmed, and rates and room type may change when a new card is provided. Registered hotel guests must be 21 years of age or older (unless traveling with a chaperone who is 21+ years of age). The hotel is not pet-friendly and is 100% nonsmoking.
  • Our discounted rates are available on Saturday night, but there is no full-property buyout on Saturday night. The full property buyout is Wednesday-Friday night. 
  • The last day to book within our room block is Friday, December 10, 2024. After this date, the group rates are no longer available & if the group rates are extended, it will be at the hotel’s discretion.
  • Cancellation: Cancellation/modification for a reservation must be received on or before 3:00 p.m. (Boston, MA time) on Wednesday, February 5, 2025. If cancellation is received after this time/date, the guest will be billed for the total stay of their reservation as a penalty per room/night canceled.
